The Spazio Camera space is a dynamic business and cultural hub. These policies, fees, and operational guidelines are designed to ensure a professional, collaborative, and respectful environment for all members, renters, and visitors.

1. General Access and Conduct

  • Operating Hours: Monday to Friday, 9:00 AM – 5:00 PM, with guaranteed staff presence.

  • After-Hours Fob Access: Restricted to staff office space residents only, guests are not permitted after-hours unless otherwise communicated. 

  • Conduct: All members, guests, and visitors must act respectfully and professionally. Illegal, offensive, or disruptive activities are strictly prohibited and could result in permanent suspension.

  • Guests: Guests must check in with a Spazio Camera employee, comply with all policies, and be limited to the capacity of the reserved meeting room. Members are responsible for their guests’ conduct. 

  • Workspace Etiquette: Space is for professional, legal activities only.
    Noise should be minimized; calls and conversations should be conducted in designated areas. Shared spaces must be kept clean. Collaboration is encouraged, but privacy and confidentiality must be respected. Office spaces should not be modified in any capacity, nor additional furniture, decor, etc., is permitted. 

2. Keys and Security

  • Key Policy: Key fobs are non-transferable. A maximum of two fobs per office membership will be issued if necessary.

  • Lost or Damaged Keys: Must be reported immediately. Replacement fee: $100 per key fob.

  • Personal Property: Members are responsible for securing personal belongings and locking private offices (where applicable). Spazio Camera is not liable for lost or stolen items.

  • Security Monitoring: Certain areas of the premises are monitored by video for security purposes.

  • Alarm: All renters will be provided with a personal access code to arm and disarm the alarm system after hours. This code also allows us to monitor entry and exit from the space.

3. Membership & Office Billing

  • Membership Tiers: Tenants (Private office/workspace), Virtual (Mail and digital services)

  • Billing: Monthly rental fees plus HST and optional rental packages.

4. Office Benefits & Insurance

  • Mail Service: Tenants renting a physical office for six months or longer must collect all courier packages within 30 days, and mail within 60 days. After these periods, storage fees will be applied in accordance with the standard rates for all tenants: a daily storage fee of $10 per item until packages are retrieved. Mail must be collected within thirty days to avoid disposal. We encourage prompt collection, as space is limited.

  • Insurance Requirement: Companies leasing an office are required to provide Spazio Camera with proof of tenancy insurance.

  • Boardroom Credit: Tenants renting an office for one year receive one hour of free boardroom usage per month. Boardroom reservation is required.

 

5. Event and Boardroom Rental

  • Availability: Boardroom and Event space are available for rent to members and non-members for corporate meetings, private events, screenings, press releases, presentations, masterclasses, etc. Pricing is available upon request.

  • Booking Requirements: Boardroom must be reserved in advance, subject to availability. A 30% deposit is required to reserve the event space and boardroom. The remaining balance must be paid in full no later than seven days prior to the event. If a reservation is made seven days or fewer prior to the event, full payment is required at the time of booking. During events, tenants have access to common areas and washrooms within designated boundaries. Event space and boardroom rentals do not include access to office areas. As a shared community, we ask all members and guests to respect all spaces and fellow occupants during both working hours and events.

  • Event Promotion: ICCO Canada non-members may not reference ICCO Canada or its network unless specified in their agreement.

  • Space Access: During events, office tenants have access to common areas and washrooms within designated boundaries. Event space and boardroom rentals do not include access to office areas. As a shared community, we encourage respect for all spaces and occupants.

  • Catering: Only preferred caterers are permitted to provide food for events held at Spazio Camera. Please consult our preferred catering list prior to making any arrangements. 

  • Equipment Use: AV and shared equipment should be used responsibly; damages must be reported immediately and will be subject to replacement charges.

  • Cancellation Policy: Cancellations must be made at least 24 hours in advance, deposit is not refundable.

  • Preferred rates: ICCO Canada members will receive a 30% discount on the rental of the Boardroom and Event space.
  • Insurance: Please note that those renting out the event space are required to obtain their own special events insurance. ICCO Canada staff can provide the necessary information.

6. Utilities and Additional Services

  • Utilities: Heating, air conditioning, and electricity are included.

  • Wi-Fi: Access is included for all members.

  • Printing Services: Available for a fee; black-and-white ($10c) and colour copies charged per copy ($40c). Unlimited monthly plans are available for an additional charge.

  • Coffee/Water: Water is provided free of charge. Coffee capsules are available for purchase ($1,00 CAD).

  • Storage: If available, members must follow locker/storage guidelines.

  • Mail Forwarding (Virtual Members): Forwarding procedures and fees apply.

7. Office Financial & Termination Policies

  • Payment Terms: Rent is due on the first day of each month via credit card, EFT, e-transfer, or cheque. 

  • Late Fees: $200 late fee if payment is not received by the 10th of the month.

  • No Refunds: Fees paid are non-refundable.

  • Termination Notice: Two rental periods’ notice (e.g., two months) required for end-of-agreement termination.

  • Early Termination: Constitutes a breach; member responsible for remaining fees for the full contract term.

8. Internet & Technology Use

  • Acceptable Use: Wi-Fi and IT services must be used legally and responsibly. Excessive bandwidth use or illegal activity is prohibited.

  • Device Security: Members are responsible for the security of their own devices.

9. Liability

Spazio Camera is not liable for loss or damage to personal property except in cases of gross negligence or willful misconduct. Members are encouraged to secure their belongings and maintain appropriate insurance.

10. Policy Changes Clause

Spazio Camera reserves the right to modify these policies with reasonable notice.
